Carefree holidays start with a seamless digital experience
Samana supports informal caregivers and people with chronic illnesses in Belgium through advice, activities, support and carefree holidays. Behind these services, however, was a complex administrative process. Participants would sometimes register for multiple holidays at once, after which employees had to manually juggle available places, care needs and support. The existing booking system was making these processes increasingly difficult to manage.
Lemon helped Samana thoroughly renew this complex digital ecosystem. From strategy, analysis and UX design to a new website, a central management platform and several tailor-made portals for participants, holiday coordinators and nurses. A fragmented and labour-intensive process was transformed into a digital environment that makes registration easier, automates administration and gives employees real-time insight.
Modular management platform with reusable building blocks
Efficient management starts with the basics. Instead of building every trip from scratch, Samana now works with reusable building blocks. Want to add a new destination? A fixed, logical structure guides the employee through the process. This prevents errors, saves a considerable amount of time and ensures that all data is correctly structured from the start.
Inclusive website design: simplicity as a strength
Samana's target audience often consists of older people or people with specific care needs. This calls for a booking system that provides calm and clarity. No digital mazes, but a website with clear copy and a minimal number of buttons. This comes together perfectly in the 'My holidaymakers' module. By entering only a name and national registration number, users can safely and quickly register fellow travellers. This keeps the process intuitive while fully safeguarding privacy.
Activities in your area, in just a few clicks
In addition to holidays, Samana organises activities and training sessions throughout the year. These are now easy to find on the new website. Users can filter activities by category, period or target audience, or search for activities nearby based on their location or postcode. Registration takes just two steps. For some activities, users simply select the main participant and indicate how many people will attend. Those who give permission to verify their membership automatically receive the CM member rate.
My Samana portal: everything in one place
Participants can manage their holidays and activities from one personal environment. They can see the status of their application, download letters and documents, cancel when necessary and complete an evaluation after their holiday. They can also manage people and apply for a supporting membership through My Samana. The passwordless login fits perfectly with the platform's inclusive approach. Especially for a target audience that may be less familiar with digital applications, simple access lowers the barrier to managing things online independently.
Portal for holiday coordinators and nurses: a digital playbook for everyone travelling with the group
A carefree holiday depends on thorough preparation. That's why holiday coordinators and nurses have their own environment within the same portal. For each trip, they can see who is attending, with an overview of relevant information such as disabilities, transport, mobility, assistive devices and oxygen requirements.
The care balance combines the group's care needs with the available support in one overview. This gives coordinators an immediate view of the balance within the group.
In the planning module, they can assign pick-up locations and rooms and print travel documents for selected participants. A participant's medical file is only visible to people scheduled for that specific trip. Access permissions are also checked again every time the information is requested.
Software that grows with Samana
The management platform operates as Software as a Service (SaaS). This gives Samana a system that remains modern at all times. Because improvements and updates are implemented automatically, the software never falls behind. The result is a reliable environment that is always ready for the next step.
